Position Title:  Administrative Support Assistant II

Position Code: 10197

Salary Range: $28,514.40 – $46,672.80

Position Location: Charter Schools and Specialized Treatment Centers, Montgomery

Open Date: November 2024


The Charter Schools and Specialized Treatment Centers Section of the Alabama State Department of Education in Montgomery intends to fill one (1) Administrative Support Assistant II position (ASA 11-10197).

Duties will include, but will not be limited to the following:

  • Type letters, memorandums, proposals, contracts, and office documents
  • Handles telephone duties (including taking messages, routing calls, and forwarding questions to appropriate individuals within the section/department) and assumes other receptionist duties (including greeting, welcoming, and directing visitors) when needed professionally.
  • Proofreads/edits material so that errors in punctuation, grammar, content, and or format are identified and corrected
  • Establishes files and keeps files current so that information can be accessed and retrieved easily
  • Assists as needed with proposals, budgets, contracts, A-2’s, and reports
  • Disseminates mail to the appropriate staff members
  • Operates office equipment and utilizes various computer software programs to produce office documents efficiently
  • Sorts, collates, and assembles materials such as workshop handouts, departmental/section/unit documents, and program materials and prepares them for distribution, shipping, and/or storage.
  • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; working with section and department staff to maintain equipment inventories; operates of a variety of office equipment including copier, fax, printer, shredder, and other appropriate tools to effectively support the work of the section/department
  • Prepares in-state and out-of-state travel claims for immediate supervisor
  • Other duties as assigned.

Education:

  • High school diploma; or GED Certificate; additional qualifications as an Administrative Assistant

Experience:

  • Three (3) years of proven responsible clerical work experience
  • Experience interacting and collaborating with individuals from various backgrounds
  • Proficiency in Microsoft Office 365 (required), Adobe Professional Enterprise, or similar software applications.
