The Child Nutrition Programs/Summer Nutrition Programs section of the Alabama State Department of Education (ALSDE) intends to fill at least one (1) Administrative Support Assistant position.
Duties will include, but will not be limited to the following:
- Types/formats documents so that information is accurate and complete according to the supervisor’s directives within the specified timeline and with minimum edits.
- Utilizes office software programs and office machines in order to increase efficiency in correspondence, communication, and meeting deadlines so that department and division/section goals are met.
- Distributes/disseminates phone messages/documents so that appropriate staff are in receipt of their phone messages /documents within three hours after the employee receives them.
- Communicates information to supervisor, department personnel, and others so that clear accurate messages are received/transmitted in a timely manner.
- Maintains files and operates current proficiency of office equipment such as computer, copier, letter folding machine, etc., with minimal assistance so that accurate records may be easily retrieved when needed with no significant delay.
- Prepares, proofreads, and effectively manages OOS travel, timesheets, workshop proposals, supply requests, material receipts, program sponsors’ applications, program letters of agreements, correspondence, response letters, and legal section’s hearing officer.
- Takes the lead role in copying, sorting, assembling, and packing workshop and meeting materials, adhering to deadlines, and assisting in scheduling training workshops and meetings, setting up conference calls as needed, and reserving meeting rooms.
- Post, update, and remove Website documents as appropriate. Ensure the current and correct Civil Rights Statement is located on the website.
- Other duties as assigned.
Education:
- High school diploma or a GED certificate
Experience:
- Minimum of five (5) years of progressively responsible clerical experience.
